Version 1.0 · Last updated: 30 September 2026
These Terms of Service ("Terms") are an agreement between you and Leap Innovations, company registration no. BN-35CKQ9Y, of 463-00516, Nairobi ("CareerPilot", "we", "us"). They govern your use of our website and services (the "Service"). By creating an account or using the Service you confirm that you have read and accept these Terms, the Privacy Policy, and the Payments & Refunds terms, which form part of this agreement. If you do not accept them, do not use the Service. Clicking "create account" is your electronic signature and acceptance under the Kenya Information and Communications Act, 1998.
1. What the Service does
CareerPilot helps you find jobs, scores how well your CV fits them, drafts application materials using artificial intelligence, keeps a record of your applications and, where you choose and where technically possible, submits applications on your behalf. For many job boards and employer systems we can only prepare the application and open the page for you to complete; those applications are marked as needing your review and are not treated as submitted until you confirm.
2. Who may use it; your account
- You must be at least 18 years old and able to enter a binding contract.
- You must give accurate, current information and keep it up to date.
- You are responsible for your password and for all activity under your account. Tell us immediately at support@careerpilot.co.ke if you suspect unauthorised use.
- One person, one account. You may not share, sell or transfer your account.
3. Your responsibilities for what is sent in your name
- Truth. Your CV, profile and answers must be true and not misleading. You are responsible for their content, including anything you edit in AI-drafted text.
- Review. AI-generated scores, cover letters and suggestions can be wrong or incomplete. You must review them. We do not guarantee their accuracy or suitability.
- Authority for auto-apply. If you switch on auto-apply you instruct and authorise us to prepare and, where technically possible, submit applications in your name that meet the rules you set (for example minimum fit score and daily limits), using your stored CV and details. Each such application is treated as sent by you. You can pause or switch it off at any time; this stops future submissions but cannot recall applications already sent.
- Sensitive questions. We do not answer sensitive questions (such as health, ethnicity, criminal record or work authorisation) for you. You must answer them yourself and are responsible for the answers.
- Right to work and eligibility. You are responsible for making sure you are entitled to apply for and take up any role.
4. Acceptable use
You must not:
- submit false, misleading or fraudulent information, or apply on behalf of someone else without their authority;
- use the Service unlawfully or in breach of a job board's or employer's terms;
- attempt to bypass usage limits, credit or payment controls, or manipulate the system to obtain credits, plans or features you have not paid for;
- probe, scan, attack, overload or reverse-engineer the Service, or access another user's data or an administrator area (this may be an offence under the Computer Misuse and Cybercrimes Act, 2018);
- scrape or copy the Service's content or data by automated means, or use it to build a competing product;
- upload malware, or content that is unlawful, defamatory, infringes others' rights or contains another person's personal data without their permission;
- use the Service to send spam or unsolicited messages; or
- instruct the AI features to produce unlawful or deceptive content.
5. Plans, credits and payment
- Prices, plan features and credit-pack sizes are shown in the app in Kenya shillings (KES) before you pay. Any tax that applies is shown at or before checkout.
- Payment is by M-Pesa STK push to the phone number you provide. You confirm the number is yours or that you are authorised to use it. Access is granted only after the payment is confirmed by Safaricom and matches the price shown.
- Plans run for the period shown and do not renew automatically; you must buy again to continue. Credits are used as described in the app and do not expire unless the app says so.
- Free trials and free tiers may be limited, changed or withdrawn. We may apply fair-use limits (for example daily caps on AI features and emails) to keep the Service reliable and to prevent abuse.
- Refunds and failed or duplicate payments are dealt with in our Payments & Refunds terms.
6. Third-party job listings and services
Job listings come from employers and third-party job boards and may be inaccurate, incomplete, expired or removed without notice. We are not an employer or recruitment agency, are not a party to any application or employment relationship, and do not guarantee any interview, offer or outcome. Employers and job boards have their own terms. CareerPilot is not affiliated with or endorsed by them unless we say so. Before you accept any role or pay anyone, verify the employer; never pay money to secure a job.
7. Our intellectual property and your content
- The Service, its software, design, text and trade marks belong to us or our licensors. We give you a personal, non-exclusive, non-transferable, revocable right to use the Service in line with these Terms.
- You keep ownership of your CV and content. You grant us a limited, worldwide, non-exclusive licence to host, process, analyse, reproduce and transmit it, and to share it with providers and with employers you apply to, solely to provide the Service and as described in the Privacy Policy.
- You confirm you have the right to give us that licence and that your content does not infringe anyone's rights.
- Content generated for you by AI is provided for your use; we do not guarantee it is unique or free of similarity to other text.
8. Privacy
We handle personal data as set out in our Privacy Policy, in accordance with the Data Protection Act, 2019.
9. Availability and changes to the Service
We aim for a reliable Service but do not promise it will be uninterrupted or error-free; job boards and other providers we depend on may change or fail. We may update, suspend or discontinue features. If we permanently discontinue a paid feature you have already paid for and not received, we will give you a fair refund or equivalent credit.
10. Suspension and termination
- You may stop using the Service and delete your account at any time in Settings (see Data Retention & Deletion).
- We may suspend or close your account, with notice where practicable, if you breach these Terms, we suspect fraud or abuse, a payment is reversed or disputed, or the law requires. Serious breaches may be reported to the authorities.
- On termination your right to use the Service ends. Sections that by their nature should survive (including 7, 11, 12, 14 and 15) continue.
11. Disclaimers
To the extent the law allows, the Service is provided "as is" and "as available". We do not warrant that it will meet your requirements, that applications will be received or accepted, that AI output is accurate, or that third-party sites will work with our tools. Nothing in these Terms limits any right you have as a consumer under the Consumer Protection Act, 2012 or other law that cannot lawfully be excluded.
12. Limitation of liability
Subject to the paragraph above and to what Kenyan law does not allow to be limited (including liability for fraud or wilful misconduct, and for death or personal injury caused by negligence): (a) we are not liable for indirect or consequential loss, loss of opportunity, loss of employment, loss of profit or reputation, or for loss caused by employers, job boards or other third parties or by your reliance on AI output; and (b) our total liability to you for all claims arising from the Service in any 12-month period is limited to the amount you paid us in that period, or KES 5,000 if you paid nothing.
13. Your indemnity
You will compensate us for loss, damage and reasonable legal costs arising from a claim by a third party caused by your breach of these Terms, your unlawful use of the Service, or content you supplied that you had no right to use.
14. Changes to these Terms
We may change these Terms. For material changes we will give at least 14 days' notice by email or in the app before they apply to you. If you keep using the Service after that date you accept the changes; if you do not accept them, you may close your account before then.
15. Complaints, governing law and disputes
- Please raise complaints with us first at support@careerpilot.co.ke. We will acknowledge within 7 days and aim to resolve within 30 days.
- These Terms are governed by the laws of Kenya.
- If we cannot resolve a dispute by talking, the parties will first try mediation in good faith. If that fails, the courts of Kenya sitting in Nairobi have jurisdiction. Nothing prevents you from using any statutory complaint route available to consumers or from complaining to the Office of the Data Protection Commissioner about data protection issues.
16. General
- Entire agreement. These Terms and the documents they refer to are the whole agreement between us about the Service.
- Severability. If a provision is unenforceable, the rest remains in effect.
- No waiver. Delay in enforcing a right is not a waiver of it.
- Assignment. You may not transfer your rights; we may transfer ours to a successor of the business.
- Notices. We may notify you by email to your account address or in the app. Notices to us go to support@careerpilot.co.ke and to our address above.
- Electronic records. You agree that our electronic records of your acceptance, payments and activity are admissible evidence of them.
- Events beyond our control. We are not liable for failure caused by events beyond our reasonable control, including outages of telecommunications, mobile-money, hosting or job-board systems.
